Removing unauthorised sellers: the complete workflow

Monitor, evidence, enforce, and fix the leak upstream: the systematic version of a fight most brands run on adrenaline.

Unauthorised sellers are the most persistent irritant in marketplace brand management, and the least understood. Most brands fight them reactively, with angry reports and occasional legal letters, and lose. The brands that win treat it as a workflow: continuous monitoring, disciplined evidence, the right enforcement route for each seller type, and upstream fixes that stop the resupply.

Step 1: classify before you fight

Everything depends on what the seller is actually selling. A counterfeiter selling fakes is an IP case with strong platform remedies. A grey-market seller with genuine stock is a distribution leak, and most platform remedies will fail because the product is real. Diverted or expired stock sits between. Misclassifying the seller wastes months: the workflow starts with a test buy, not a takedown request.

Step 2: monitor continuously

You cannot manage a seller landscape you see monthly. Track every offer on every ASIN: who is selling, at what price, winning what share of the Buy Box, appearing and vanishing on what rhythm. Watch for the patterns that matter: new sellers after a retail promotion (promo buying), sellers with deep catalogues of your category (professional arbitrage), and prices below your channel floor (a margin leak somewhere).

Step 3: build evidence like it will be read by a sceptic

Because it will. Test buys with documented unboxing, order IDs, batch codes photographed, condition noted. For suspected fakes, the differences itemised against a genuine control unit. For grey stock, batch codes are the treasure: with serialisation or good batch records they tell you which distributor’s stock is leaking, which converts an unwinnable platform fight into a winnable commercial one.

Step 4: enforce through the right door

  • Counterfeits: report through Brand Registry with the test-buy evidence; with Project Zero, remove directly. Escalate repeat offenders.
  • Genuine grey stock: platform takedowns rarely stick. The leverage is upstream: the supplying partner, the pricing that makes arbitrage pay, and Transparency enrolment that closes the door at the warehouse.
  • Condition and safety issues: expired, damaged or repackaged goods breach policy regardless of authenticity; report them as what they are, with photographs.

Step 5: fix the leak

Every persistent unauthorised seller is being resupplied by someone you know. Audit distributor sell-through against their sell-in; align pricing across channels so arbitrage margins vanish; put marketplace terms into distribution agreements; and use batch tracing to have specific conversations instead of general suspicions. On-platform enforcement without upstream repair is mowing a lawn you keep watering.

Report the campaign like a project: seller count per ASIN, your Buy Box share, price floor integrity, time-to-removal for fakes. The trend tells you whether you are winning; the metrics tell the board why the work matters.
